Workspaces, Hybrid working space, Remote working

The pandemic has fundamentally shifted our work lives, compelling many to find remote workspaces that resonate with their personal routines, resource limitations, and desire for local accessibility. Amidst these evolving work habits, there is a pressing need for a streamlined solution that eases the search and adoption of workspaces tailored to the varied demands of our professional lives, ensuring that each individual can find a 'workplace away from the workplace' that feels just right.

Taking the first step

To solve this, I began researching the competitors in the market and found a few relevant competitors. Did more research on What makes them effective? What facilities they’re providing to the users? How can we improve on the user experience? What are a few different necessities, interests, and issues that can happen while using such platform?

Competitive analysis helped us to understand the current market and its expectations. With this analysis we learnt to use the strengths and weaknesses of our competitors to create a better user experience.

Competitive Analysis

User Research and Findings

User Research

In discover phase, we reached out to our target audience to know their requirements, expectations, pain points and frustration while looking for a working space.

Research Objectives:

  • Understanding users expectations, requirements and pain points for a workspace hunt.

  • Understanding the preferences of the users while looking for a workspace

  • Find the challenges users face while booking a desired workspace

  • To know what percentage of the target users would want to work from a co working space.

  • Whether the companies or freelancers prefer working from a workspace where they were provided with all the required equipments and facilities

Research Methods:

Quantitative Research: Online survey

Qualitative Research: One to one Interviews

Timeline: 3-4 days

Users’ goal is to find a co-working space where they have a feel of working from their own workplace and addition of multiple amenities would make the experience even better.

They feel motivated with better work environment and feel refreshed when they come out of their homes and meet new people.

Users need many devices which are not present at home like printers, white boards, coffee machines, break rooms etc.

The most important thing for a user to work is a good internet connection, more than 90% of users mentioned they get bad connection at home sometimes that leads to downtime and decreased productivity.

Users are not happy wearing id cards to enter, exit and be in premises, would like an alternative to wearing tags.

Users would prefer working from co-working space as an opportunity to promote their business ideas and connect with intellects to ideate on new business thoughts.

User would like to have details of the eateries around the co-working space and would appreciate a pantry at the co working space

Insights from the research

Ideation and Brainstorming

As a part of are brainstorming activities we prepared the HMW(how might we) questionnaire and answered as a team about how we could support users goals, needs and pain points.

From the information I gathered, I made an ideal client experience of how my application will work. Also detailing what the user's experience would look like. It later formed into a touchpoint map, which shows the user's journey and emotions with each touchpoint they perform inside the application.

User Journey Map

The significance of this journey map is finding a consistent experience to keep the user motivated as they go through the app.

The highlight of the touch points are:

The greatest experience was seeing all the workspaces, locations and amenities a user can choose from that will create a route.

The lowest experience was the user having a daunting feeling of not knowing how to book or approach a workspace or know which all workspaces are in the locality

The user journey help me create a user flow that’s the route user would follow while moving through the application.

User Flow

With the clear idea of the User flow and customer journey, creating the information architecture was easy and effective.

Style Guide

Right after creating the wireframes I started exploring the branding and design options, created a moodboard with all the inspirations. After going through quite a few iterations, I decided to use a Work Sans typeface which gives a clean reading experience. The colour coding of the app is inspired from colours relevant to work, motivation and energy.

Usability Testing

A/B Testing

To quantitatively review the usability assumptions, I did A/B and click tests, which confirmed my assumptions except for a few details. First and foremost, I tested the navigation structure on tablet and mobile, the wording of some actions as well as preferences regarding the visual design.

Results

90% of the users were able to complete the tasks successfully.

20% users asked doubts related to the navigation and needed some support to perform their tasks

85% user believed that the product is very useful for them and they would like to continue using it in the future as well as they would recommend this product to their colleagues and friends.

88% participants found the product easy to use and self explanatory.

After booking completion when clicked on back, I reached home instead of booking list.

Date selection was a little confusing as I selected date on workspace list view and there was date selection again on booking screen.

On Payment method, there’s a pay now button and proceed button, it was confusing whether to use pay now or proceed.

After clicking on share button, there was no action to be done.

Feedback

Booking a workspace process was neat and easy with minimum steps.

Whole experience was nice, it took minimal time and effort to complete the tasks

Asking for complete a survey mandatory before cancelling is a little harsh, a skip could be a good addition.

Looking Back!

There are still countless features that could be added to the list and improved design. However, this solved a great problem users were facing while looking and booking a co-working space. During the design process, I learned that creating a stable pool of satisfied users was pivotal in creating a reliable service for them, leading to a shift in my priorities towards making the user experience better. However, despite the stressful conditions, I enjoyed the challenge of designing the user experience of an entire co-working space booking platform.
